What Preps are available in the Configuration Tool? (Version 1.1)

1. Count

Let's look at the "Count" Prep (preparation)...

For this example, we will need to "Add a Field"...

For this example, we will select the "Browser" Field...

Push the "play" button to "run" the selected Field...

We can see the data in the "Browser" column (before we apply a "Prep" to it)...

For our example, there were a LOT of "records" (6,507 is the total - seen at the bottom-right of the screen)

To understand the "Count" Prep, we will "Add a Field"  (once again)...

We will select the "Browser" Field (once again)...

We will select the "Prep" icon...

We will select the "Count" Prep...

Push the "play" button to "run" the selected changes...

To communicate more clearly, we will type "(Count)" beside the Browser title - so we can clearly see which one has the "Count" prep applied to it...

I moved the positions of the "Browser" and the "Browser (Count)" and then expanded the column so we can see the full field title...

This is what the "Count" Prep does, when applied to the data in the Browser field/column...

The "Count" prep counted the "Browser" names... the total count of all the data from the initial record count of 6,507 (seen at the bottom-right of the screen)... down to only 4 records (seen at the bottom-right of the screen)...  

 

 

The "Count" prep applied to the data in the Browser field/column shows that there are:

2,176 records of Internet Explorer

2,176 records of Firefox

2,154 records of Google

1 record of Browser

=======================

2,176 + 2,176 + 2,154 + 1

= 6,507 total records

 

2. Count Distinct

Let's look at the "Count Distinct" Prep (preparation)...

For this example, we will need to "Add a Field"...

Then we will select the "Location" Field...

We will "Add a Field" (once again)...

We will select the "Location" Field (once again)...

And we will "Add a Field" (a third time)...

And select the "Location" Field (a third time)...

We can type next to the Field titles, to clarify what specific "Preps" will be getting applied to the data...

If we re-name the Field titles, and push the "play" button to "run" the changes (without actually applying any "Preps" to the data)...

Then we will get the SAME information in all three columns (without any changes to the actual data)...

In our example, there  are 6,507 records (seen on the bottom-right of the screen)...

To make changes to the data, we need to select the "Preps" icon...

We will select the "Count Distinct" Prep for this column...

Now, when you press the "play" button to "run" the selected changes, you can actually SEE HOW the tool applies the "prep" to the data...

Instead of 6,507 individual records (like we had BEFORE applying the "preps" to the data)...

Now we only have 5 records...

The Location column displays the location info...

The Location (Count Distinct) column counts how many distinct locations there are... one of each... five total...

The Location (Count) column counts how many times data came from the location...

 1 + 5,154 + 2,176 + 2,175 + 1  =  6,507

so we can see that ALL of the 6,507 records are being displayed.

3. Distinct

Let's look at the "Distinct" Prep (preparation)...

For this example, we will need to "Add a Field"...

We will select the "Location" Field for this example...

We will push the "play" button to "run" the selected changes...

In our example, the "Location" Field shows a LOT of data...

In fact, there are "6,508 records" of the data in our "Location" Field (we can see this in the bottom-right of the screen)...

Now, let's click on the "Preps" icon...

Locate and select the "Distinct" Prep...

Push the play button to "run" the selected changes...

The "Distinct" Prep sorted through all 6,508 records, and it found that there were only 5 "Distinct" Locations in all of the data.

4. Find Minimum

Let's look at the "Find Minimum" Prep (preparation)...

For this example, we will need to "Add a Field"...

We will select "Location" as a Field...

We will "Add a Field" (once again)...

52 is the Minimum "Amount" in all of the Gilbert's Gallery data

51 is the Minimum "Amount" in all of the Bob Actions data

50 is the Minimum "Amount" in all of the Fort Fun data

3 is the Minimum "Amount" in all of the Here data

0 is the Minimum "Amount" in all of the Location data

The "Find Minimum" Prep searched through all 6,507 records and found the "Minimum" for each Location...

The "Find Minimum" Prep helped us to see that there were only 5 locations total (we see this in the bottom-right-corner of the screen), and it also helped us to see the Minimum "Amount" for each of the Locations.

5. Find Maximum

Let's look at the "Find Maximum" Prep (preparation)...

For this example, we will need to "Add a Field"...

1500 is the Maximum "Amount" in all of the Gilbert's Gallery data

1500 is the Maximum "Amount" in all of the Bob Actions data

1499 is the Maximum "Amount" in all of the Fort Fun data

3 is the Maximum "Amount" in all of the Here data

0 is the Maximum "Amount" in all of the Location data

The "Find Maximum" Prep searched through all 6,507 records and found the "Maximum" for each Location...

The "Find Maximum" Prep helped us to see that there were only 5 locations total (we see this in the bottom-right-corner of the screen), and it also helped us to see the Maximum" Amount" for each of the Locations.

6. Average

Let's look at the "Average" Prep (preparation)...

For this example, we will need to "Add a Field"...

7. Sum

Let's look at the "Sum" Prep (preparation)...

For this example, we will need to "Add a Field"...

8. Delta Change

A "Delta Change" is the change in value from the previous value.  It needs to be a SINGLE data set by another data set...

 

For our example, we can see there is already some data in our image (Date and Visits)...

Let's "Add a Field" to illustrate the "Delta Change"Prep...

We will select "Visits" from our Field(s)...

Select the "Preps" icon...

Notice how the "Delta Change" shows the VALUE change...

There were "3" visits on the first date listed... so there was NO value change during that date... so it shows "3" still...

There were "12" visits on the second date listed... so there was a VALUE CHANGE of "9" on that date... so it shows "9"

9. Round

Let's look at the "Round" Prep (preparation)...

For this example, we will need to "Add a Field"...

Notice that we have the SAME "prep" applied to both columns... so the data is EXACTLY THE SAME...

We will select other options, so we can see the changes side-by-side...

10. If Empty

Let's look at the "If Empty" Prep (preparation)...

For this example, we can see that there is data in several of the Fields...

But the "Description" Field is "NULL" (not showing any data)...

Find and select the "If Empty" Prep...

We can see there are two empty "values" that need set...

For this example, we will type "N/A" (meaning "Not Applicable")...

For the dropdown, we will select "NULL or Blank" so there will NOT be any empty data fields...

We can see the "Description" Field NOW shows "N/A"

11. Find and Replace

Let's look at the "Find and Replace" Prep (preparation)...

For this example, we can see that there is data in several of the Fields...

 

In the "Location" Field, the words are longer than the default space, so we see the "..."

We can either "fix" this by clicking and selecting "Expand" or "Expand All" on the "Location" Field heading...

OR...  

We can put a "Prep" into place, to simplify the view for the data...

 

We will select the "Prep" icon...

Locate and select the "Find and Replace" Prep...

When we push the "play" button to "run" the selected changes, we can see that there NO "Location" descriptions that extend beyond the default...

 

This example was simply to show one way of using a "Prep" to view the data more easily.

12. Replace (Exact)

Let's look at the "Find and Replace" Prep (preparation)...

For this example, we can see that there is data in several of the Fields...

We will select the "Prep" icon...

We will locate and select the "Replace (Exact List)" Prep...

We will type "Internet Explorer" into the "Find" field...

We can see the "IE" has replaced where "Internet Explorer" used to be listed in the data.

13. Change Case

Let's look at the "Change Case" Prep (preparation)...

For this example, we can see that there is data in several of the Fields...

For this example, we will "Add a Field" (so there will be TWO "Location" Fields in our view)...

Then select "Location" for our Field...

We can add the number "2" by typing it beside the second "Location" Field...

Then select the "Prep" icon...

We will choose "Lowercase" for this example...

To further illustrate the "Change Case" Prep...

I made a third "Location" Field, then selected "Uppercase" as the Prep for it...

Here we can click the "play" button to  "run" the selected changes...

We can see the results of the "Change Case" Prep:

1. Has NO Prep applied to it - it is simply the way the Location data was entered

2. Lowercase - changes all the data to lowercase

3. Uppercase - changes all the data to uppercase

14. Trim

The "Trim" Prep will remove the "white space" off of data... trailing, leading, or both

 

We can see that there is already data in our image below, and we have already selected the "Trim" Prep for each of the Fields.

1. The "Leading" TRIM will remove "white space" that is IN FRONT of the data..

2. The "Trailing" TRIM will remove "white space" that is AFTER the data...

3. Selecting to TRIM "Both" will remove "white space" IN FRONT and AFTER the data.

15. Arithmetic

Let's look at the "Arithmetic" Prep (preparation)...

For this example, we can see that there is data in several of the Fields...

 

To illustrate the "Arithmetic" Prep, we will "Add a Field"...

Select the "Format" icon...

1. We typed "($)" next to the "Amount" name...

2. Then we found and selected the "currency" Format...

1. We clicked the "Prep" icon...

2. Then we found and selected the "Arithmetic" Prep...

Notice the "Operation" drop-down...

And also notice the "By" fill-in...

For this example, we will:

1. Select "Division"

2. Type "100"

3. Push the "play" button to "run" the changes...

4. Then we can see the side-by-side results of the "Arithmetic" Prep

16. Clean

Let's look at the "Clean" Prep (preparation)...

For this example, we can see that there is already data in several of the Fields...

 

Notice that I had previously entered "100" as the number of "Total Fruit" for each category of fruit (as a way to do various examples and keep the math easy)...

To show an example of the "Clean" Prep, we will remove (clean) the "100"...

 

Under the "Total Fruit" Field, we can click on the "Prep" Icon...

We can then Find and Select the "Clean" Prep...

We will type "100" into the "characters" field...

Push the "play" button to "run" the changes...

We can see the changes to the data, now...  

The "Clean" Prep removed all places that had "100" and replaced that data with "NaN"  [meaning "Not a Number"]...

17. Substring

The "Substring" Prep will return:

1.   a piece of the data...

2.  specified by a starting point, and...

3.  a length to go after that.

 

 

As we get ready to demonstrate the "Substring" Prep, we can see that there is already data in our image...

We will "Add a Field"...

We will select "Meals and Snacks" as our Field...

We will find and select the "Substring" Prep...

Notice the two places that need filled-out...

For our example, we will:

1. enter "1" in the START POSITION...

2. enter a "7" in the LENGTH OF NEW STRING...

3. push the "play" button to "run" the selected changes...

Notice the "1" Position is highlighted in orange...

Also notice the "7" pieces of data that are shown (it also counts commas as a piece of data).

18. Split

Let's look at the "Split" Prep (preparation)...

For this example, we can see that there is data in several of the Fields...

 

Under the "Random Notes" column, there are several words with commas between them...

For this example, we will select "Add a Field"...

 

And once again we will select the "Random Notes" Field...

Then we will select the "Preps" icon...

Then we will type in "1" for the Position...

Notice what the "Random Notes (1) does as a result of the "Split" Prep...

It looks for the "," (comma) and then puts the FIRST word(s) in this column...

We will further illustrate the "Split" Prep by (once again) "Adding a Field"...

And (once again) we will select the "Random Notes" Field...

Then we will (once again) select the "Preps" icon...

Then we can find and select the "Split" Prep (once again)...

We will set up the second "Split" Prep very similar the first one...

(1.) Once again, we will type a "," (comma) in the "Delimiter" fill-in...

(2.) Then we will type a "2" in the "Position" fill-in...

(3.) Then push the "play" button to "run" the selected changes...

Notice what the "Split" Prep did in the "2" Position...

It looked for the "," (comma) and then listed the word(s) AFTER the comma...

To further illustrate, we repeated a few of the steps above to create a third "Split" Prep...

We typed in the "," (comma) and then typed "3" into the "Position" fill-in...

After running the "play" button, we can see the differences between "Position" "1" "2" and "3"

Notice what the "Split" Prep did in the "3" Position...

It looked for the "," (comma) and then listed the word(s) AFTER the comma.

19. Concatenate

Let's look at the "Concatenate" Prep (preparation)...

For this example, we can see that there is data in several of the Fields...

 

We have 3 Locations (Apples, Bananas, and Cranberries)...

And we have 2 Dates (2015 & 2019)...

We can see that the total number of records goes from 6 in the image above...

down to only 3 in the image below...

when I turned off the visibility of the "Date" column (because the "Count" Prep is applied to the Locations)...

For this example, we will:

1. Select the "Prep" icon...

2. Click "Add Prep" since there are already several "Preps" applied to this Field...

We will locate and select "Concatenate"...

Notice the areas that need identified: "Where" and "What"

For this example, we will select the "Append" (it will put the data AFTER)....

And we can actually see the " = 2015/2019 " is now Appended AFTER the Locations...

20. Pivot

Let's look at the "Pivot" Prep (preparation)...

For this example, we can see that there is data in several of the Fields...

 

We will use: 3 Dates, 3 Locations, and the "Sum" of the Visits

 

To demonstrate the "Pivot" Prep, we listed the "Sum" of the "Visits" over a 3-day period, and used 3 Locations to look at.

Using the "Pivot" Prep can be seen in the image above...

Notice how we have only 4 "Fields" (columns) selected on the left side... but the view (table) on the right has 6 "Fields" (columns)...

We used the orange highlight to visually show what "Pivot" does.

21. List

Let's look at the "List" Prep (preparation)...

For this example, we can see that there is data in several of the Fields...

 

We can see the numbers of Visits, one Date, and three Locations...

We can click on the "Preps" icon...

We can find and select the "List" Prep...

We can see how the "Visits" have been put into a "List"...

For this example, this "List" would show the number of guests for Breakfast, Lunch, and Dinner, on a specific date.

22. Distinct List

The "Distinct List" Prep will return a distinct list of data for that column...

 

We can see there is already data in the image below for Date and Location...

In the bottom-right-corner of the screen, we can see that there are 6,514 records total...

To illustrate the "Distinct List" Prep, we will start by narrowing down the data...

 

We will turn OFF the visibility (eyeball) of the "Date" Field...

When we push the "play" button to "run" the selected changes, we can see that the Date field is now hidden...

We will push the "Preps" icon...

Locate and select the "Distinct List" Prep...

When we push the "play" button to "run" the selected changes, we can see all 6,514 of those previous records narrowed down to only ONE record (that contains 8 "Distinct" Locations).

23. Range

The "Range" should give us the Max-Min value using the GROUP BY, so if you have 3 rows of a number and date, it will show the range...

 

 

We can see that there is already existing data in our image below...

To give an example, we need to have several data sets with the same date...

1. We clicked on the "eyeball" icon to make the "Good Fruit" Field invisible from our view...

2. We pushed the "play" button to "run" the selected changes...

3. We can see the "Good Fruit" column has vanished from our view...

We can "Add a Field" for our next step...

We will select the "DATE" Field for this example...

So, we can select the "FILTER(S)"...

Turn ON the "eyeball" (to make the "Good Fruit" Field VISIBLE again)...

Notice that we have different data under the "Good Fruit" entries...

1. We will turn OFF the "eyeball" of visibility to the "Date" Field that had the "Count" Prep applied to it...

2. Then push the "play" button to "run" the selected changes...

3. Then select the "Prep" icon for the "Good Fruit" Field...

Find and Select the "RANGE" Prep...

We can see that the "Good Fruit" data (90, 94, 98) has a "RANGE" of 8  [the distance between the Min and Max of these numbers].

24. Absolute Value

The "Absolute Value" Prep will show the Positive Value of the data...

For this example, we will select the "FILE" icon...

For this example, we will set the "TYPE" to TEXT (instead of having it set to NUMBER)...

In the top-left of the screen, we can push the "Save" icon to Save our changes...

We will select the "FIX" icon, next...

Now we will look at a sample of data...  

The (-) negative numbers are able to display ONLY because we selected "TEXT" instead of selecting NUMBER a few images above...

But, when we push the "SUM" icon, we can see that the data does NOT work on TEXT Formats...

To further illustrate, we will "Add a Field"...

1. Notice how the "SUM" icon still does NOT apply a Sum to our data, yet...

2. Also notice that the "Absolute Value" Prep changed ALL of the (-) Negative numbers into (+) Positive numbers... [it provided the Absolute Value of the number(s)]...

To get the SUM to work, we will select the "Format" icon...

Find the NUMBER Category, then locate and select "Non-Formatted" for the Format...

When we push the "play" button to "run" the changes, we can see that the "Absolute Values" actually were able to have the SUM applied to them (since they are a non-formatted NUMBER Format now)...

To get the final set of data to work with the SUM, we will select the "Format" icon...

Find the NUMBER category, then locate and select "Non-Formatted" for the Format...
